What does Bad Books do?
Bad Books enables a Consultant to do the following:
Search for presence of guest in Bad Books for any booking in booking list
Add Guests from bookings created in YesBookit after Bad Books installation date (to cover privacy laws)
Update Guest Details
Add Multiple Incidents per Guest Entry
Edit an Incident
Void an Incident
Additionally, a Supervisor will be able to do the following:
Search for whether Guest already exists in Bad Books, using surname, telephone numbers and email address
Add Guest from External source (agent must have permission from guest for this particular use of their private information. see www.privacy.gov.au)
Remove Guest from Register
Background Searching
Staff users will get an automated alert from Bad Books when they are creating a booking if the guest is identified based on surname, email address or phone numbers. The booking will be marked if created.
If a guest is identified when making an online booking then they will only be able to make a Request Booking and online payment is not an option. The booking will be marked.
Check whether Guest is in Bad Books
From Bookings >Guest Bookings search for the guest
Click on BB button to right of booking
Any existing Bad Book entries that have a matching Surname, or Phone Number or Email Address will display as a red BB button.
Click into the Edit button to check the full details and establish whether it is the same guest or not.
If it is the same guest DO NOT add the guest as a new Bad Books entry. Instead update the existing entry in Bad Books and add new incident if required.
Add a Guest to Bad Books
From External Source
Click Tools > Bad Books
Click on Manual Entry
Enter the Guest details in the fields provided
Select Incident Type from the pull-down menu
Write a description/reason in the Note field
Click on Add Guest to Bad Books
From Booking in YesBookit
From Bookings > Guest Bookings find the booking and click on the BB button
If the Guest does not exist in Bad Books (possible existing entries are highlighted at the top of the page) then select Incident Type from the pull-down menu
Write a description/reason in the Note field
Click on Add Guest to Bad Books
Update Guest Details
From Tools > Bad Books
Search for the entry or locate the entry in the list displayed
Click on Edit and update details where required
Click on Update Bad Books Entry
Edit an Incident in Guest Entry
From Tools > Bad Books search for the guest and click on Edit
Edit a description/reason in the Note field
Click on Update Bad Books Entry
Void an Incident
From Bookings > Guest Bookings search for the guest and click on BB
In the Incident section change Status from Valid to Void
Click on Update Bad Books Entry
Search Bad Books for a Guest
From Tools > Bad Books
Search for the entry by entering part or all of the surname or email address or phone number
Or locate entry in the list displayed
Click on Edit button to edit entry
Remove Guest from Bad Books
From Tools > Bad Books
Search for the entry or locate the entry in the list displayed
Click on Edit and enter Delete in the Delete field
Click on Update Bad Books Entry
